What personal data we collect and why we collect it

On this website, we collect personal data via the use of contact forms and comment facilities,
as detailed below. Data about visitors to the site is also generated and used by cookies, as
detailed below. We may use the data collected via our website, contact forms and our
products for marketing, sales outreach and support.

Outside this website, we also collect personal data through our direct interaction with
customers and other business contacts, and from third party sources (such as industry
databases and events organisers).

Our software products, Alchemite™ and Ichnite™, collect information, including through the
use of cookies, to facilitate user login and to monitor usage of the system for various
purposes, including improving the user experience, informing of our licensing terms, and
ensuring license compliance, as well as enabling us to analyze trends and guiding future
product development and technical support. Through your use of our website and software
products, we may also collect statistics regarding the use of our website and our software
products, which we use for analytics.

We only hold personal data (e.g., names, job titles, contact details, and professional interests)
that relates to:

(1) the individual in their job role, for the purpose of communicating effectively with that
individual and their employer organisation about the products and professional services
offered by Intellegens Limited;

(2) enabling login, monitoring security, and controlling access to Intellegens software and the
data stored therein;

(3) supporting contact with the individual relating to recruitment opportunities at Intellegens
Limited; or

(4) enabling employment, contractual arrangements, or other business communications with
Intellegens Limited.

 

Forms and marketing emails

This website uses forms to collect contact information – e.g., when visitors register for an
event, request download of selected information from the site, or wish to contact Intellegens.

In all cases, the purpose for which the information is collected is clearly stated on the form.
Users may be provided with the option to place a cookie on their computer for the purpose of
speeding up completion of future forms.

Only users who explicitly opt-in are subscribed to receive the Intellegens newsletter and
marketing emails. In addition, in countries (such as the United Kingdom and United States)
where an opt-out approach to business-to-business emails is permitted, information provided
to Intellegens via these contact forms may be used to send selected future communications
that are relevant to the job role of the individual. All marketing communications from
Intellegens will include a clear mechanism to opt-out of future messages.

Some pages on this website also include links to forms on third party sites – for example, the
Gotowebinar site that is used to host Intellegens webinars. Any data returned to Intellegens
from those forms is handled by us in accordance with this privacy policy, but the operation of
those forms is governed by the privacy policy of the site on which it is located.

Cookies and analytics

This website uses the WordPress system which, by default, does not collect any personal data
about visitors, and only collects the data shown on the User Profile screen from registered
users (who are usually Intellegens employees or contractors involved in maintaining the
website).

Articles on this site may include embedded content (e.g. fonts, videos, images, articles, etc.).
Embedded content from other websites behaves in the exact same way as if the visitor has
visited the other website. These websites may collect data about you, use cookies, embed
additional third-party tracking, and monitor your interaction with that embedded content,
including tracking your interaction with the embedded content if you have an account and are
logged in to that website. Examples include the use of Google fonts, Google maps, and
YouTube videos. You can prevent such tracking by logging out of the relevant accounts.

The Popup Maker plugin is sometimes used on our website, for example to provide pop-up
adverts for upcoming events. This uses anonymous cookies to prevent users from seeing the
same popup repetitively.

We use tracking services, such as Google Analytics and SalesForce Marketing, to monitor the
traffic on our site for the purposes of ensuring the site content is relevant and well organised
for our visitors and for monitoring responses to our marketing campaigns. This may include
capturing and reviewing IP address data and use of cookies, including for the purposes of
understanding which organisations and individuals are visiting our site. Additionally, we
employ the services of ZoomInfo UK Limited to enhance our contact and company
databases. We may share your personal and company information with ZoomInfo for
purposes of improving the accuracy and completeness of our records. ZoomInfo’s collection
and use of this data is governed by their privacy policy, available here. You are free to
request deletion of your data by contacting us at info@intellegens.com at any time.

Other plugins may use cookies in order to ensure a good user experience. You may disable
the use of cookies via a pop-up option that appears when you first use the site.

Comments

We may activate the capability to add comments to some of the posts or pages on our
website.  If we do this, and visitors then leave comments on the site, we collect the data
shown in the comments form, and also the visitor’s IP address and browser user agent string
to help spam detection. An anonymized string created from your email address (also called a
hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service
privacy policy is available here: https://automattic.com/privacy/. After approval of your
comment, your profile picture is visible to the public in the context of your comment. You
may also be offered the opportunity to opt-in to save your name, email address and website in
cookies. These are for your convenience so that you do not have to fill in your details again
when you leave another comment. These cookies will last for one year.

User login data

This website does not provide user login features for our website visitors.

Our Alchemite™ and Ichnite™ software, which may be hosted in the cloud and accessed via
the Internet, provides user login facilities in order to manage access to software features and
project data. This requires storage and use of personal data, such as name, email address,
profile information, and IP address. Such information is stored securely and can only be
accessed by applications on behalf of the user or by authorised Intellegens staff or
contractors.

Who we share your data with

Data provided to Intellegens via the mechanisms described here is shared with third party
organisations only as required to fulfil the purpose for which it was provided. We do not
share personal data with partners for marketing purposes.

Our hosted software platform is deployed on Google Cloud and data stored there is under the protection of their privacy policy: https://cloud.google.com/security/privacy.

The data that we collect may be disclosed to authorities by us if required by law or to protect
rights and safety.

How long do we keep your data?

We will periodically review our customer and contact database and remove data that is no
longer relevant. We will normally remove contact information if there has been no interaction
with either the individual or their organisation within a period of three years. We will also
remove data about individuals who have no associated employer organisation in our database,
unless this data records an opt-in or opt-out preference for Intellegens communications.

What rights do you have over your data?

You have the right to request access to any information held about you in our contact
database or other information systems. You may request removal of any information from
these systems. We will provide details of how we have complied with this request and
explain the retention of any information that may be required for best practice record-keeping
or in order to ensure that we continue to meet contractual obligations or your communications
preferences.

Cross-Border Data Transfers

We may transfer, store, and process your personal information in countries outside of your
home country and other countries where our servers or service providers are located. These
countries may have data protection laws that differ from those in your jurisdiction. When we
transfer your personal information internationally, we take steps to ensure that your data is
protected in accordance with this Privacy Policy and applicable law, including transferring
data to countries that the European Commission and other relevant authorities have deemed
to provide an adequate level of data protection and using standard contractual clauses
approved by the European Commission and other competent authorities to ensure lawful

require authenticated login. Access to these systems is restricted to Intellegens employees or
contractors who require this data in order to fulfil their duties, and who are bound by
Intellegens’ policies on confidentiality.

This Privacy Policy may be updated as required from time to time. Updated versions will be
(i) posted here, and (ii) prompted for acceptance within the Alchemite(™) product, and it is
your responsibility to familiarise yourself with the at any time current version of Intellegens’
